RECOMMENDED CITY COUNCIL ACTION:    
·         Approve the proposed Resolution authorizing the City Manager to execute the proposed lease agreement.
 
ITEM SUMMARY:  
·   The Information Technology (IT) Department has been in their existing offices located at 115-B Industrial Blvd. since June of 2009.
·      The existing lease agreement for that office space is set to expire on May 31, 2014.
·      This lease agreement is for a period of three years with two one year renewal options.
 
BACKGROUND INFORMATION:  
·        The Department of Information Technology during the past year has researched several potential properties in the downtown McKinney area for options on purchase or lease a facility.
·      The current facility occupied by information technology is the only one that fits the following requirements:
 
o      The need for 10,000 sq/ft of mix used space - approximately 7,000 sq/ft for staff and 3,000 sq/ft for storage.
o      A loading dock, in local proximity to storage space, to receive and securely store technology assets.
o      Centralized area large enough to support both staff and parking needs for our training facility, mobile support for public safety, and external customers.
o      The need to manage expenses and keep costs controlled for 3 years.
o      The need to use City owned fiber to eliminate vender provided services.
 
FINANCIAL SUMMARY:  
·    Existing monthly lease rate: $9,933.00
·    Proposed monthly lease rate: $9,933.00
