RECOMMENDED CITY COUNCIL ACTION:                     

                     Approval of the Resolution.

 

ITEM SUMMARY: 

                     This Resolution authorizes a contract amendment with Architects Phelps/Wood related to the design and construction of the Community Center Patio project for an additional $12,500 and total amount not to exceed $72,400.

 

BACKGROUND INFORMATION: 

                     On April 15, 2014, a professional services contract was authorized to provide architectural and engineering services related to the design and construction of the Community Center patio for a not to exceed amount of $60,000.  This amount included basic services valued at $55,000 and a design contingency of $5,000.

                     The project bid in April 2015, with only one bid being submitted.

                     The bid was over budget, the bid was rejected, and staff assessed the feasibility of project rebidding.

                     Additional funds for the project were approved in the FY 15-16 Budget.

                     Additional funds were added as needed to cover additional design fees as well as construction.

                     In order to expend the funds designated for the additional design services, a contract amendment to the professional services contract is needed.

                     The contract amendment would add $12,400 to the design contract and increase the not to exceed amount to $72,400.

                     The project rebid on May 3, 2016, with three bids being submitted.

                     City Council approved the bid award for Drive Construction and the project is currently under construction.

 

FINANCIAL SUMMARY: 

                     The Resolution authorizes the City Manager to execute a contract amendment to the existing professional design services contract with Architects Phelps/Wood for an amount not to exceed $72,400.

                     The Community Center patio project (PK4252) was fully funded in the FY15-16 Capital Improvements Program with a funding source of previously issued bonds and MCDC sales tax revenues.
