ITEM SUMMARY:
• This Resolution authorizes the award of a fixed priced contract with Coyote Motorsports-Allen, LTD. dba Black Gold Harley-Davidson of Allen, Texas for Harley-Davidson Parts and Service.
BACKGROUND INFORMATION:
• The purpose of this contract is to provide Fleet Maintenance with the ability to utilize contractual services to obtain Harley-Davidson Parts and Service under a fixed price contract on an as needed basis.
• The City issued Invitation to Bid 24-54FP, Harley-Davidson Parts and Service on June 9, 2024.
o Advertised in the McKinney Courier Gazette and Celina Record
o Posted on McKinney TV
o 111 matching eBid supplier notifications which included one (1) Historically Underutilized Business (HUB) suppliers
• In response to all notices published, three (3) bids were received on June 27, 2024:
o Coyote Motorsports-Allen, LTD. dba Black Gold Harley-Davidson of Allen, Texas
o Maverick Harley-Davidson of Grand Prairie, Texas
o Texoma Harley-Davison of Sherman, Texas
• Procurement Services reviewed and ranked the bids based on the following criteria:
o 70 Points - Cost of Parts and Service Rates
o 30 Points - Reputation of the Bidder and of the Bidder’s Goods or Services -Verified through Reference Checks
• Procurement Services considered the overall pricing and the responses from the verified references of the three bidders. Based on the results of the evaluated bid responses, Procurement Services and the Fleet Maintenance department recommend the award of contract to Coyote Motorsports-Allen, LTD. dba Black Gold Harley-Davidson of Allen, Texas as the best value for the City.
• Contract will commence on date of award and continue for one (1) year period with additional two (2) one-year renewal terms.
FINANCIAL SUMMARY:
• Funding for Harley-Davidson Parts and Service is budgeted in the Police AEOE account.
• Estimated annual spend for this contract award is $50,000.
